VoIP Pricing in 2026: How Much Does VoIP Cost per Month?

What business VoIP really costs per user per month, what changes the bill, CloudTalk's full price list and a VoIP pricing comparison.

Business VoIP pricing usually runs $15 to $75 per user per month on annual billing, and most entry plans sit between $15 and $25. Your real VoIP cost also depends on the countries you call and how many numbers you need. CloudTalk plans start at $25 per user per month billed annually ($34 billed monthly), with calling included for one region.

  • What most teams pay: about $15 to $25 per user per month for an entry plan. Higher tiers with integrations, analytics or dialers cost more, up to about $75.
  • What changes the bill: the countries you call, how many phone numbers you need, and whether you pay annually or monthly.
  • The cheapest way to start: a monthly plan plus a free trial, so you can check your real usage before you commit to a year.

We built this guide from the pricing questions buyers ask us on sales calls, so each section answers one of them.

How Much Does VoIP Cost per Month?

VoIP cost for a business is a per-user monthly fee, plus minutes outside your included calling, extra phone numbers and any hardware you choose to buy. Across the providers in our comparison table, published plans run from about $15 to $75 per user per month on annual billing.

To estimate your own bill, price each of the four parts below separately.

Per-User Plans

Most providers sell three or four tiers, priced per user:

  • Entry tier: calling, numbers, voicemail, basic call routing and a mobile app. Fine for small teams that mostly answer the phone.
  • Mid tier: adds integrations with your customer relationship management (CRM) or helpdesk software, better reporting and outbound tools like a smart dialer.
  • Advanced tier: adds call monitoring, custom dashboards, power dialers and calling to more countries.

Annual billing is cheaper per user than monthly billing, but it usually means a 12-month commitment. Monthly billing costs more and lets you cancel or change plans when your team changes. If you don't know your call volume or destinations yet, start monthly and check your usage after the first month.

You typically move up a tier for one of four reasons: you need deeper analytics, your CRM has to sync with calls, your reps need a dialer, or you call more countries than the entry plan covers.

Calling Minutes and Per-Minute Rates

Most plans include calling to one country or region. Many call it "unlimited," but most providers set a fair use limit behind that word. Check the exact number of minutes per user before you assume you'll never pay extra.

Calls outside your included region are billed per minute. The rate depends on two things:

  • Destination: each country has its own rate.
  • Mobile vs. landline: calls to mobile numbers almost always cost more than calls to landlines, and international mobile calls cost the most.

If you only call one country, per-minute rates barely matter. If your reps call five countries every day, they can decide your bill.

Phone Numbers

You can buy four main types of business numbers: local, national, mobile and toll-free. Most plans let you add numbers for a monthly fee that depends on the country and the number type. Which type you need depends on who calls you, and our comparison of toll-free vs. local numbers covers the difference.

Some countries also charge a one-time activation fee, and some require documents (a local address, for example) before a number goes live. Toll-free numbers have one extra cost to plan for: inbound calls to them are usually billed per minute, because the business pays for the call instead of the caller.

VoIP Phones and Hardware

With app-based VoIP, such as a cloud PBX phone system, desk phones are optional. Your team can call from a laptop or phone, so the main hardware cost is usually a good headset per person. A wired USB headset such as the Poly Blackwire 3220 costs about $45. A Bluetooth model with noise canceling, such as the Poly Voyager Focus 2 or Jabra Evolve2 65 Flex, runs about $230 to $280.

If you do want desk phones, expect to pay about $70 for an entry model like the Yealink SIP-T31P and $300 or more for an advanced one like the Poly Edge E450. Check that your provider supports the models you already own. CloudTalk runs in a browser, a desktop app (macOS, Windows, Linux) and a mobile app (iOS, Android), and it works with SIP desk phones. SIP access is activated through CloudTalk Support, so test your models before you roll them out.

CloudTalk VoIP Pricing

CloudTalk VoIP pricing is a per-user plan fee from $25 a month on annual billing, plus any bundles, numbers, out-of-region minutes and add-ons you choose. Every one of those prices is below, so you can build your own quote.

These figures match the public CloudTalk pricing page, which also lists every feature in each plan.

Annual plans are a 12-month commitment; monthly plans can be cancelled anytime. Calls between CloudTalk users are free on every plan, and CloudTalk doesn't charge setup or onboarding fees. Some countries do charge a number activation fee, covered below.

Included Calling Regions and Bundles

Every plan includes calling in one region you pick: US and Canada, one EU or UK country, or one of Brazil, Mexico, Colombia, Peru or Australia together with US and Canada. The allowance depends on your plan:

  • Starter: unlimited US and Canada, or 500 minutes per user in one EU or UK country (250 in Iceland, Bulgaria, Slovenia and Malta). In the Latin America and Australia options, you get 250 minutes in Brazil or Colombia, or 500 in Mexico, Peru or Australia, plus unlimited US and Canada.
  • Essential: unlimited US and Canada, or unlimited domestic calling in one EU or UK country. Estonia, Latvia, Luxembourg, Iceland, Bulgaria, Slovenia and Malta are capped at 500 to 1,000 minutes. Brazil and Colombia get 500 minutes; Mexico, Peru and Australia get 1,000.
  • Expert: unlimited domestic calling in Mexico, Peru and Australia as well as US and Canada and the EU or UK. Brazil and Colombia are capped at 1,000 minutes, and Malta at 500.

"Unlimited" always runs under CloudTalk's fair use policy: 3,000 minutes per user per month, or 10,000 for US and Canada. Minutes reset every month and don't roll over, and anything above the limit is billed at pay-as-you-go rates. Alaska and Hawaii are excluded from US and Canada calling.

"Domestic" means the call starts and ends in the same country. A call from a German number to France isn't domestic, even though both are in the EU.

To call more countries for a fixed fee, add a geographic bundle per user:

BundlePrice per user per month
DACH$5
Europe$10
Latin America$15
Australia, New Zealand and UK$15
Asia$20
Worldwide (two bundles)$15 or $25

USD. Bundle prices are published in the CloudTalk help center. Prices checked October 2026.

Bundle rules to know before you buy:

  • You need at least 3 seats.
  • Every bundle includes unlimited US and Canada.
  • To call a European Economic Area (EEA) country inside a bundle, you need an EEA or UK number (geographic number prices vary by country).
  • Bundles draw on your plan's minutes (500 on Starter, the 3,000-minute fair use limit on Essential and Expert).
  • Special, premium and toll-free numbers and forwarded inbound calls aren't covered.

Per-Minute Rates for Other Countries

Calls to countries outside your included region or bundle are billed per minute. CloudTalk doesn't publish a full per-minute rate card; you can get the rates for your destinations from the sales team or your account manager before you sign.

Three things set the rate for each call:

  • Destination country: every country has its own rate.
  • Mobile vs. landline: calling a mobile number costs more than calling a landline in the same country.
  • Where your number is from: calling an EEA country from an EEA number is cheaper than calling the same country from a number outside the EEA.

If you call a few countries often, ask for those rates first and compare them with the bundle price for the same region. Multiply each rate by the minutes your reps spend on those calls to see which option costs less.

Toll-free inbound minutes are the one per-minute cost CloudTalk does publish. They're always billed, never free:

Toll-free number countryInbound rate per minute
United States$0.03
Canada$0.03
Australia$0.09
France$0.10
United Kingdom$0.12
Mexico$0.22
Spain$0.30
Germany$0.36

USD per minute. Prices checked October 2026.

The monthly fee for the toll-free number itself is listed separately in CloudTalk's toll-free number pricing.

Numbers, SMS and Add-Ons

CloudTalk offers local, national, mobile and toll-free numbers in [160+ countries](https://www.cloudtalk.io/country-coverage/). Numbers start from $6 a month on any plan, and the price depends on the country and number type. Some countries charge an activation fee, and some need documents before the number is activated.

Inbound calls are free on every plan, with three exceptions: calls to toll-free numbers, calls from certain high-cost countries, and the forwarded leg of a forwarded call.

Messaging isn't included in any plan. Inbound SMS costs $0.008 per 160-character message fragment in every country. Outbound SMS rates depend on the destination and are available from Support or your account manager.

Optional add-ons, per user per month on annual billing:

  • AI Conversation Intelligence: $9. Transcription, AI call summaries, sentiment analysis, topic detection and talk/listen ratio. Always an add-on, on every plan.
  • Power Dialer: $15 on Starter and Essential. Included in Expert.
  • Parallel Dialer: $39. An add-on on every plan.

If outbound calling is your main use, compare these dialer add-ons with standalone tools in our guide to auto dialer pricing.

Flat-Rate vs. Pay-As-You-Go VoIP Pricing

VoIP pricing for calls follows two main models, flat rate and pay-as-you-go, with bundles as a middle option.

Flat rate is a per-user plan with calling included, often sold as "unlimited" with a fair use limit. It works best when most of your calls stay in one country or region. You know the bill before the month starts.

Pay-as-you-go charges per minute by destination. It suits teams with low or unpredictable call volume, and it covers countries your plan doesn't include. The risk is a bill that swings month to month.

Bundles sit in the middle: a fixed fee per user adds more countries to your plan. Some buyers we spoke with paid less with a bundle than with a competitor's per-minute rates. Others found the savings shrank once every rep needed worldwide calling.

Plenty of providers call their pricing transparent. When you evaluate VoIP pricing, that word should mean four things:

  • Per-user prices published on the website, for both annual and monthly billing.
  • Per-minute rates you can see before you sign, or get on request for your countries.
  • A fair use limit stated in minutes, not hidden behind "unlimited."
  • No surprise setup, number or porting fees on the first invoice.

CloudTalk publishes its plans and bundle prices and gives per-minute rates for your destinations on request.

VoIP Pricing Examples by Team Size

These VoIP cost examples price four common setups on CloudTalk with annual billing.

TeamSetupMonthly total
5 users calling within US and Canada5 x Starter at $25$125
5 users calling across Europe, 3 with call analytics5 x Essential at $29, plus the Europe bundle for 5 users at $10, plus AI Conversation Intelligence for 3 users at $9$222
15-person support team in one country15 x Essential at $29$435
Larger team with custom needsCustom planContact Sales

USD, annual billing. Prices checked October 2026.

These totals don't include:

  • extra phone numbers beyond what your team uses today
  • minutes to countries outside the included region or bundle
  • inbound minutes on toll-free numbers
  • headsets or desk phones

To adapt an example to your team, swap in the countries your reps call most. If they're in a bundle, add the bundle price per user. If not, ask for the per-minute rates and multiply by your expected minutes.

For the support team, note that in Brazil, Colombia, Mexico, Peru and Australia, Essential includes capped minutes rather than unlimited calling. If you're still picking a platform for that team, see our roundup of the best cloud call center software.

Teams that call mostly one region tend to pay close to the plan price. Teams that call many countries outside a bundle see usage costs climb fast.

What Affects VoIP Cost?

Your VoIP cost comes down to ten factors. Check each one before you compare quotes:

  • Number of users: most providers price per user, so headcount drives the base bill.
  • Billing term: annual billing is cheaper per user; monthly billing avoids a 12-month lock-in.
  • Where you call: included region, bundle or per-minute rates, depending on the country.
  • Mobile vs. landline: calls to mobile numbers usually cost more.
  • Toll-free numbers: inbound minutes are usually billed per minute.
  • How many numbers you need: a direct line for every rep, or shared numbers with extensions.
  • Number country: numbers in some countries cost more or need documents.
  • Fair use limits: what "unlimited" covers in minutes, and what happens above it.
  • Add-ons: analytics, dialers, AI features and messaging.
  • Hardware and porting: desk phones, headsets and number porting to move your existing numbers.

Many buyers weigh a direct line for everyone against a shared number with extensions. The extra numbers often add only a small amount per month, so price both options before you decide. Most of these factors have a matching price in the CloudTalk pricing section above.

What We Heard From Teams Switching VoIP Providers

We reviewed recorded pricing calls and the win and loss notes on deals where price decided the outcome, over the past 12 months. Teams moving from one VoIP provider to another raised the same costs again and again.

The Costs That Surprised Them

On the old bill, the surprises came from usage and extras more than from the plan price:

  • Pay-as-you-go international calling: per-minute rates looked small and added up fast once reps called abroad every day.
  • Worldwide bundles for everyone: when every user needed global calling, the bundle cost multiplied across the whole team.
  • Per-number charges: teams with large sets of numbers paid a monthly fee on each one.
  • Hard-to-move numbers: numbers in some countries cost far more than standard numbers or couldn't be ported, which meant keeping two providers.
  • Bills that changed every month: usage-based billing made budgeting hard.
  • Expensive messaging: some messaging channels cost well above calling.

What Made the New Price Worth It

Teams that were happy with the switch pointed to a few clear reasons:

  • bundles that cost less than per-minute billing for the countries they called most
  • one clear table showing which calls were included and which were billed
  • monthly billing while they still didn't know their usage
  • local numbers in the countries they call
  • onboarding and setup help at no extra fee
  • one platform in place of a phone line, a separate dialer and a call analytics tool

Teams that compared the total monthly cost for their real call mix were happier with the decision than teams that compared only the headline per-user price.

If your team works in a CRM, check which CRM integrations each plan includes before you compare prices, since they often decide the tier you need.

What Buyers Ask Before Choosing a VoIP Plan

Buyers bring the same questions to most pricing calls. You can put each of them to any provider you're considering.

The Price Questions We Hear Most

  • Which calls are included, and which are billed? Calls to your included region are covered up to the fair use limit. Calls to other countries, to premium numbers and inbound toll-free minutes are billed.
  • What counts as domestic if we call other EU countries? Domestic means the call starts and ends in the same country. Calls to other EU countries need a bundle or are billed per minute.
  • Are calls between colleagues free? On CloudTalk, yes. Internal calls between users are free on every plan.
  • What do toll-free minutes cost? Inbound calls to toll-free numbers are billed per minute by country, for example $0.03 in the US.
  • Is the quote monthly or billed quarterly? It depends on the provider. Ask whether the per-user price assumes annual billing and what the monthly price is.
  • Are there setup fees? CloudTalk charges no setup or onboarding fees. Some countries charge a one-time number activation fee.
  • Can we start monthly before we know our usage? Yes. Monthly billing costs more per user, but you can move to annual once you know your volume.

Why Buyers Choose One Provider Over Another

When buyers chose CloudTalk, these were the usual reasons:

  • clear pricing they could check line by line
  • bundles that came out cheaper than a competitor's per-minute rates
  • flexible billing terms
  • local numbers in the countries they call
  • onboarding included

When they chose someone else, it usually came down to one of these:

  • a competitor's aggressive per-seat and per-number discount
  • calling bundled almost free into a CRM they already paid for
  • very low-cost basic VoIP for teams that only needed a phone line
  • expensive calling to countries outside any bundle
  • numbers that couldn't be ported

Neither list says one provider is cheapest for everyone. The best price depends on where you call and what you already pay for, which is what the comparison below helps you check.

\CloudTalk includes calling in one region you choose; allowances depend on the plan (see Included Calling Regions and Bundles above). "Unlimited" means fair use: 3,000 minutes per user per month, or 10,000 for US and Canada. Expert needs at least 3 users.*

How to Compare VoIP Rates and Plans

A fair VoIP rate comparison looks past the headline price. Run these seven checks on every provider you shortlist:

  1. 01
Per-user price on your billing term: compare annual with annual and monthly with monthly.
  2. 02
What's included, and the fair use limit: how many minutes "unlimited" covers, and in which countries.
  3. 03
Per-minute rates to your top 3 destinations: for both mobile and landline numbers.
  4. 04
Number costs in your countries: monthly fees, activation fees and document requirements.
  5. 05
Toll-free inbound rates: if customers call you for free, you pay per minute.
  6. 06
Minimum seats and contract length: some plans need 3 users or a 12-month term.
  7. 07
Trial: whether you can test call quality and real usage before you pay.

Buyers who priced their top destinations as well as the plan avoided surprises on later invoices.

How Much Can You Save With VoIP?

How much you save with VoIP depends on what you pay today and where you call. Rather than guess a percentage, work it out with your own numbers.

Savings usually come from four places:

  • No on-site phone hardware: no PBX box to buy, house or maintain.
  • Included domestic calling: calls in your region are part of the per-user price.
  • Cheaper international calling: VoIP rates and bundles often cost less than international calls on traditional lines.
  • Fewer tools: one platform can replace a separate dialer or call analytics tool.

Use this simple calculator:

Current monthly phone bill (lines + calls + maintenance) minus VoIP total (users x plan price + numbers + minutes outside the plan + add-ons) = monthly savings

Some teams pay more per user after switching and still save overall, because they drop a separate dialer or analytics subscription. Count those tools in your current bill too.

The easiest way to get real numbers is to measure them. Run your team on a trial for a couple of weeks, then look at the minutes and countries they actually used before you choose a plan.

See What Your Team Would Pay

Start with a list: the countries your team calls, the numbers you need, and how many users will make calls. Pick the plan and bundle that cover most of it, then run a trial to see your real usage before you commit. That's the most reliable way to turn VoIP pricing into a number you can budget for.

Frequently Asked Questions

Business VoIP costs about $15 to $75 per user per month on annual billing, based on the published prices in our comparison table. Add the cost of extra numbers and any minutes outside your included calling. CloudTalk starts at $25 per user per month billed annually, or $34 billed monthly, with calling for one region included.

Typical VoIP prices per user start at about $15 to $25 per month for an entry plan on annual billing. Higher tiers with integrations, analytics or dialers cost more, up to about $75 per user among the providers in our comparison table. You usually move up a tier for analytics, CRM integrations, dialers or calling to more countries.

A VoIP number usually costs a monthly fee that depends on the country and number type: local, national, mobile or toll-free. Some countries add a one-time activation fee or need documents before you can get a VoIP number there. CloudTalk numbers start from $6 a month on any plan, and toll-free numbers also bill inbound calls per minute.

International VoIP calls are priced per minute by destination, and calls to mobile numbers cost more than calls to landlines. A bundle can cover a set of countries for a fixed monthly fee per user instead. On CloudTalk, calling an EEA country from an EEA number is cheaper, and rates for your destinations are available from sales.

The VoIP provider with the best pricing depends on where you call and how many numbers you need. A low per-user price can cost more overall if your team calls countries outside the plan. Compare the total monthly cost for your real call mix, using the comparison table and the seven checks above.

VoIP is usually cheaper than a landline because there's no on-site hardware to buy and domestic calling is included in the per-user price. International savings depend on the rates for the countries you call. To check your own case, subtract your total VoIP cost from your current monthly phone bill, including lines, calls and maintenance.

App-to-app calling on consumer apps can be free, but business VoIP is not. A business phone system with real numbers, call routing, reporting and support costs a monthly fee per user. You can test one without paying: CloudTalk offers a 14-day free trial with no credit card needed, so you can check call quality and real usage first.

With app-based VoIP, you may not need one: your team calls from a computer or uses VoIP on a cell phone, so a headset is the main cost, about $45 for a wired USB model (Poly Blackwire 3220) or $230 to $280 for Bluetooth. Desk phones run from about $70 (Yealink SIP-T31P) to $300 or more (Poly Edge E450). CloudTalk works with SIP desk phones, so test yours first.
